BUSINESS MANAGEMENT SYSTEM FOR A HEALTHCARE SERVICES PROVIDER

Client involved in providing knowledge and training for healthcare related service professionals such as nurses and para-medical support staff engaged Plutustree to provide a complete business management system that included: Client Relations Management, Operations Management and Skills Enhancement.

Challenge

A client with multi-location branchesin different geographical regions involved primarily in training and placement of healthcare service professionals such as nurses and para-medical staff at clinics and hospitals. They also were involved with skills advancement, training and continuing education so that the candidates could become suitable for deployment in the West. They ran a number of a workshops and seminars in varied settings as part of their business. There were many challenges relating to overall IT management. The company relied primarily on multiple types of MS Excel sheets and workbooks for daily operations, reporting, personnel management and MIS analysis. This became very complex and untenable given the massive amounts of data and reports that were generated. They had identify a resolution to this issue as it has become not only expensive but also a ton of redundant resource deployment, reports could not be analysed or acted upon in a timely fashion.

Solution

Plutustree studied the problem and designed a solution that supported the client’s management with a client relations management tool, productivity and performance tracker, lead and prospect manager and a user-friendly daily data recorder for efficient operations. An easy to analyse MIS reporting system that could be drilled down was also developed.

The client’s management, was finally able to gauge the overall pulse at all times and monitor performance indicators at any time via a fully functional management dashboard and reporting interface.

The client’s operations team had a module to assist them with registrations, fee management, document archival and retrieval through a single dashboard. The system allowed them to automatically generate emails while corresponding and applicable documents be transmitted through an efficient single application protocol.

The client’s program management team was able to better plan training schedules, programs based on the availability of trainers, training locations, student and class room sizes. A simple drag and drop system via an interactive calendar assisted and brought efficiency in discharge of these functions.

Benefits

The client did away with the redundant and complex MS XL based MIS and reporting system they had adopted. With the system developed - decision-making, business management, multiple program management became a breeze. The system also provided an excellent repository of all lead and client information including all communication and interactions both internal and external. Thus streamlining of MIS and future data analysis and use as required was achieved via the deployment of the system.

The system also had functionality to support analysis of the effectiveness of various channels of advertising and marketing across media enabling them tweak or manage campaigns effectively.
